Cancellation Policy

How to change or cancel a booking, and what happens if a tour cannot go ahead as planned.

What this policy covers

This policy covers guided tours booked with Alam Al-Munawara in Madinah through this website. It sets out how to change a booking, how to cancel one, and what happens when we have to change or cancel a tour ourselves.

Online payment is not yet available on this website. Bookings made here are requests that we confirm with you directly, and any payment terms are agreed at that point.

Changing a booking

Tell us as early as you can. Most changes are straightforward if there is still availability.

  • Date and visiting time can usually be moved where a suitable guide is available.
  • Group size and vehicle option can be changed if the new option is available on your date.
  • Language can be changed where a guide who works in that language is free.
  • A change of guide is possible where another eligible guide is available, though it may not always be.

If a change means no eligible guide is available, we will offer the nearest alternative date or visiting time rather than leave the booking unresolved.

Cancelling a booking

To cancel, contact us by email or phone with your name, the tour and the date. We will acknowledge your cancellation in writing.

Example notice periods (placeholder)

  • More than 48 hours before the tour start time — no cancellation fee.
  • Between 24 and 48 hours before — a partial fee may apply.
  • Less than 24 hours before, or no-show — the full tour fee may apply.
  • Full-day trips outside Madinah may use a longer notice period.

These figures are examples for review and are not in force. The confirmed terms will be provided in writing when you book.

If we have to cancel or change a tour

Occasionally a tour cannot run as planned — for example if a site closes unexpectedly, if conditions make a route unsafe, or if a guide becomes unavailable at short notice.

  • We will contact you as soon as we know.
  • Where possible we will offer an alternative guide, date or visiting time.
  • Where a tour is cancelled by us and no alternative suits you, any amount you have paid is returned.
  • Where a route has to be shortened or adjusted on the day, your guide will explain the change before it happens.

Late arrival and no-shows

Guides will wait at the agreed pickup point where they can. A late start may shorten the tour, because the schedule has to fit the remaining time and the sites keep their own opening hours.

If we cannot reach you at the pickup time and have had no contact, the booking may be treated as a no-show.

Weather and conditions

Tours in Madinah run in most conditions. In extreme heat, dust or other conditions that would make a route uncomfortable or unsafe, we may adjust the route, move the visiting time, or reschedule the tour with you.

If we reschedule for this reason, no change fee applies.

Circumstances beyond our control

Neither party is responsible for failing to meet an obligation caused by events outside its reasonable control — for example restrictions imposed by authorities, closures of sites, or major disruption to travel.

In those situations we will work with you to find a workable alternative.
